1. Introduction

TaskGenius ("we," "our," or "us") provides a software-as-a-service field operations, task management, and mobile command center platform for trade contractors, project managers, and field service crews. This Privacy Policy describes how we collect, use, store, and protect your personal and operational information when you access our website (taskgenius.tech), our mobile applications, and our Web Command Center (collectively, the "Services").

By creating an account or using TaskGenius, you consent to the data collection and practices described in this policy.

2. Information We Collect

We collect information to provide, maintain, and improve our Services for field crews and management teams:

  • Account & Profile Information: Name, business email address, company name, phone number, role assignment (Admin, Manager, Field Worker, or 1099 Contractor), and billing details.
  • Task & Operational Data: Project details, work schedules, job site logs, hours worked, task status updates, expenses, time logs, and invoices created within the platform.
  • Location Information: Foreground and background location data (GPS coordinates) collected on mobile devices when opted-in by Field Workers to support auto-clocking, mileage estimation, and site arrival/departure alerts.
  • Photos & Audio Media: Job site photos, task attachments, and audio recordings submitted via voice dictation features in our Universal Composer.
  • Device & Technical Identifiers: Device model, operating system version, unique device identifiers, IP address, system logs, and Firebase Cloud Messaging (FCM) push notification tokens.

3. 1099 Contractor Privacy & Keyhole Access

Contractor Privacy Guarantee: Independent 1099 Contractors are protected by strict privacy controls. In compliance with IRS independent contractor guidelines, TaskGenius does not track location or background GPS for users assigned the 1099 Contractor role.

TaskGenius enforces "keyhole access" for 1099 Contractors. Contractor users only see tasks, project logs, and job site details explicitly assigned to them. They do not have visibility into overall company financials, unassigned team schedules, or company-wide rosters.

4. How We Use Information

We use collected data for legitimate business operations, including to:

  • Provide, operate, and maintain task management, smart scheduling, and reporting features.
  • Facilitate real-time alerts, push notifications, and team communication in the Command Center.
  • Process payments, manage seat-based subscription tiers, and issue invoices via Stripe.
  • Generate activity digests, PDF/XLSX timesheet reports, and project status summaries.
  • Detect and prevent security incidents, fraud, unauthorized system access, or system abuse.
  • Comply with applicable legal requirements and enforce our Terms of Service.

5. Data Sharing & Third-Party Processors

We do not sell, trade, or rent your personal information, job data, or customer records to third parties or data brokers. We share data only with trusted third-party service providers who assist in operating our infrastructure:

  • Stripe: Payment gateway and subscription billing management.
  • Google Cloud & Firebase: Secure cloud database storage, media asset hosting, background cloud functions, and push notification relays.
  • Render & Hostinger: Web server infrastructure and static site hosting.

All third-party processors are bound by strict data processing agreements and security obligations.

6. Data Security & Storage Retention

TaskGenius implements multi-layered security measures to protect your data. Data in transit is protected using TLS/HTTPS encryption, and stored data is encrypted at rest. Mobile applications utilize an encrypted local SQLite database for offline-first synchronization.

We retain your data for as long as your account remains active or as needed to provide Services. Account administrators may initiate task soft-deletions or request account data removal upon termination.

7. Your Rights & Data Choices

Depending on your location and account role, you have rights regarding your information:

  • Access & Update: View and update your profile or account settings at any time within the web or mobile app.
  • Location Permissions: Disable or adjust background location access in your device's system settings.
  • Notification Controls: Manage alert and notification preferences in account settings.
  • Data Export & Deletion: Request a copy of your account data or request full account deletion by contacting support.
